Before using this feature,
make sure the status of all attached candidates of respective requirements
are Validated. Validated means that the candidate is interested and meet
the requirement's criteria. To update the status as validated press the
Candidate Status button on the
main toolbar, and navigate on the respective validation stage and click
on Status of a particular stage appear as sub-menu. see the sample figure
Note: Depending on implementation of HireCraft in your organization, there
might be multi-stage validations or single-stage only set-up. In case
of the multi-stage validations i.e. after recruiter, the team leader will
validate the last stage, then the team leader's stage to be updated as
validated. Also the term 'Validation' may be referred to as 'Screening'
To send profiles of validated
candidates, follow the steps below:
Select the requirement
for which you have added the candidates and updated them as 'Validated'
Press Send
Resumes command located on the left of workbench panel, to invoke
the Short-list Mailer form. See figure .
Alternatively you can right click within the Selected
Candidate List window and navigate to Mailer
> Send Resumes by e-mail in
the context-menu
Note: Clicking on Send Resumes
command will invoke the Short-list Mailer window, only if the final validation
stage is updated as 'Validated'. So make sure the last validation stage
is updated as 'Validated' for the attached candidates.
In the window that
is displayed, select one or more candidate by clicking on checkbox before
the Candidate Name column in the grid or if you need to select all the
candidates then click on top most checkbox in the heading column to check
all the candidates.
Note: By default the candidates having status as Pending are automatically checked. And candidates having
status as CV-Sent are not checked as they may be sent already, so that
you don't intend to send them again.
Press Send
button and click on sub-menu Mail Only
or *SMS only or
*Mail and SMS, and
upon clicking the same an email is sent to the requester or panel
members of the requirement, along with resumes of the selected candidates
attached.
* Visible only if the SMS service
is obtained by you and configured.
Choosing Mail Options
Apart from sending a email message, you can also choose more Options
for your message, by clicking on Options
button on the toolbar of Validation Mailer, and set the options in the
window that is displayed. See the figure
Hints: When you require certain mail options to be selected by default
for your template, then choose all those options in the template library
itself, so that you won't need to choose them the next time you use the
same template.
