This document provides
the information necessary to use HireCraft software application. This
document is meant for non-technical users who are using HireCraft for
their business purpose. The reader of this document is expected to have
the recruitment “process” knowledge necessary to understand the software
functionality. Scope of this document is meant for the general users and
hence will not contain technical architecture or similar information that
will be required for the Technical users. Please refer to HireCraft Setup
Manual to obtain more details on the Configuration and Management of the
HireCraft software.
Scope of HireCraft software
functionality includes the activities and work-flow of the recruitment
business process:
1. Ability to create and
manage the Customers and Contracts.
2. Capture the requirements
of each Client and manage them until the task gets fulfilled either partly
or completely (called Requisitions).
3. Search Resumes from
Resume Bank and send a bulk mail including SMS message to the candidates.
4. When prospective candidates
call back based on the email or SMS messages, users can locate the candidate
using the Search Engine
and attach the candidate to the Requirements (if found to be suitable).
5. The concerned recruiter
can edit the resume to make sure it is well formatted, and can prepare
the Face Sheet. The Recruiter can also create a resume without the contact
details of the candidate if required, which is known as Masked Resume.
6. Once the resume and
the face sheet are prepared, the recruiter can update the candidate’s
status as “Validated”, thus confirming that the candidate’s resume matches
with the client’s requirements and is ready to be sent for short-listing.
At any subsequent stage, if the candidate is found to be “Not suitable”,
the recruiter can update his status as “Internal Reject” and in case the
candidate is not interested then his status can be updated as “Not Interested”.
7. Resumes that have been
validated can be collectively sent to the Clients by all the Recruiters
(team members).
8. The Team Recruiter will
at a later stage follow-up with the client and mark the status of the
resume as “Short-listed” if the client accepts the sent resumes otherwise
the status can be updated as “Rejected” in case the client rejects the
resumes due to non-suitability of the candidates. A resume will be declared
as “Duplicate” if the particular candidate’s resume already exist with
the Client.
9. Once the status is updated
by the Recruiter, the concerned owner/recruiter of the candidate will
schedule interviews and send out a call letter through HireCraft’s Interview
Call Letter process.
10. All the scheduled interview
activities will appear on the Planner.
11. Recruiter can schedule
any number of interviews for each candidate and the status for the same
can be tracked.
12. Once all the interview
rounds are completed and the candidate has been qualified, his status
can be updated to “Qualified” or “Disqualified” if the candidate fails
to qualify. This status can be updated using the Interview
Scheduler
13. Selected candidates
can be tracked to know about the joining status until the candidate joins
the duty or has declines the offer.
14. HireCraft allows the
users/recruiters to enable Joining
Reminders so that they can keep track of the following:
1.
Check whether the candidate has resigned from the present job or not
2.
Check whether the candidate resignation accepted
3.
A pre-joining courtesy call
4.
A reminder on the day of joining
Note: In addition to all
the above, the most important feature of HireCraft is its ability to capture
resumes either from Folders (one at a time or in bulk) or directly from
the Microsoft Outlook Mailbox |
